Finding the right venue is one of the most consequential decisions any event planner makes. Whether it is a corporate away-day in Leeds, a product launch in London, or a gala dinner in Edinburgh, the venue sets the tone for everything that follows. With competition among UK venues fiercer than ever, planners are increasingly discerning. Here are the five factors that consistently rise to the top of the checklist.
1. Location and Accessibility
A stunning venue means very little if guests cannot get to it. Planners prioritise locations that are well-served by public transport, within reasonable distance of major rail stations or motorway networks, and accessible for delegates travelling from outside the region. Proximity to hotels is a bonus, particularly for multi-day events. In the UK, where weather and rail disruption are very real considerations, convenience is never an afterthought.
Planners also look closely at accessibility for guests with mobility requirements. Venues that can demonstrate genuine compliance (not just a ramp bolted on as an afterthought) score significantly higher during shortlisting.
2. Capacity and Flexibility of Space
Rarely does a planner need one room for one purpose. Modern events are multi-format: a keynote that flows into breakout workshops, a networking drinks reception followed by a seated dinner. Venues that offer flexible, reconfigurable spaces, along with a range of capacities under one roof, make a planner's life considerably easier.
UK planners also tend to think ahead. A venue that can comfortably accommodate 200 guests for dinner but struggle to hold 50 for a morning briefing without feeling cavernous is a venue that presents limitations. Versatility is a genuine selling point.
3. Catering Quality and Dietary Provision
Catering can make or break an event's reputation. Planners are well past the era of accepting a buffet of limp sandwiches and calling it done. In 2025, the expectation is for fresh, well-presented food that reflects the season and the location.
Equally important is how venues handle dietary requirements. With guests regularly presenting a combination of allergies, intolerances, religious dietary needs, and lifestyle choices (vegan, plant-based, gluten-free), planners want to see evidence that the kitchen takes these seriously rather than treating them as an inconvenience. A venue that handles dietary provision seamlessly, without fuss, earns enormous goodwill.
4. Technology and AV Infrastructure
Poor Wi-Fi and a flickering projector have derailed more events than most planners care to admit. Reliable, high-speed broadband is now a baseline expectation, particularly for hybrid events where remote attendees must be considered alongside those in the room.
Planners look for venues with quality in-house AV equipment, good acoustics, and technical support staff who are present and proactive on the day. The ability to support live streaming, breakout video calls, and simultaneous presentations across multiple rooms is increasingly a differentiator rather than a luxury.
5. Sustainability Credentials
This has moved firmly from "nice to have" to a procurement requirement for many UK organisations. Corporate clients in particular are under pressure to ensure their events align with internal sustainability commitments, and venue choice is part of that.
Planners look for venues with credible green credentials: energy-efficient buildings, responsible sourcing policies, waste reduction practices, and ideally recognised accreditations such as ISO 20121 or a Green Tourism rating. Venues that can provide transparent data on their environmental impact (rather than vague claims about being "eco-friendly") stand out from the crowd considerably.
What Sets the Best Venues Apart
The best venues understand that planners are not simply booking a room. They are trusting a venue to represent their brand, deliver for their guests, and remove risk from an already complex process. Venues that communicate clearly, respond promptly, and demonstrate genuine partnership throughout the planning journey will always hold an advantage.
